Items

This article explains what items are, and how you can add, edit, and remove them as needed for your inventory.

Item

An item is something that your business is offering to sell as a single entry product. Items can be created with or without variants and can be sold by either a fixed or variable price or a price per unit (oz, g, kg, lb).

Examples:
  • A restaurant might create these items: Orange soda, House salad, Ice cream scoop.
  • A retail store might create these items: Petite black shirt, Women’s scarf, Leather wallet.

Note

Items are required to be able to create and complete an order. We recommend that you create items that are as specific and detailed as possible.

Add a new inventory item with variants

Add a new item with variants to your inventory to get multiple variations of a single item. As you add details about the item, you can add one or more variations by defining variant attributes and attribute options.

Use the Inventory app  to add inventory items with variants.

To add a new inventory item with variants:

  1. On your Clover device, open Inventory app. You might have to swipe to the left to see this app.
  2. In the Inventory app, tap Items.
    The system opens the Inventory app to the page where you last worked. If you don’t see the Items tab, use the arrow at the upper left corner to navigate to the top page.
  3. At the bottom right, tap Add Item with Variants.
  4. Enter the item name and then tap Done.
    As an example, you might sell a dress shirt in broadcloth and twill fabrics. You can define a variant for the two fabric types in order to show
    Dress Shirt broadcloth and Dress Shirt twill in the Register. For this example, you would begin by entering Dress Shirt here for the item name.
  5. Add your variant by defining its attributes and options:
    • At the lower left corner, tap ADD ATTRIBUTES & OPTIONS.
    • Tap the Attributes field and enter an attribute name. For the Dress Shirt example, you might enter fabric.
    • Tap the Options field and enter attribute options, one at a time, separating each option with a comma, and ending the set with another comma. For the Dress Shirt example, you would enter broadcloth and twill with commas in between them, and also after twill.
    • (Optional) To add another attribute and options for this variant, check the box to Add another attribute after saving.
  6. Tap Save.
  7. (Optional) If you checked the box to add another attribute after saving, tap the Attributes field again, and repeat the process of adding an attribute and its attribute options.
  8. Review the list of variants to add and tap Continue.
  9. Add basic item details by tapping each entry field, entering information, and then tapping Save.
    • Alternate Item Name: Alternate item names are useful for employees who speak a different language. The system prints the alternate name you enter here. To ask the system to show alternate names instead of item names, open the Setup app, tap Order Receipts and tap Use alternate inventory names.
    • Pricing: Specify a pricing unit by tapping and choosing from the drop-down list, either a Fixed currency price (default), a Variable price, where employees enter the price when they take the order, or a price Per Unit (typically used for items sold by weight). If you choose the price-per-unit option, additionally enter the pricing unit you want to use.
    • Price: Enter the price to charge the customer. If you plan to use variable pricing, you don’t have to enter anything here.
    • Item Cost: Enter your wholesale cost for this item.
    • Stock Quantity: Enter the number of this item now in stock. By default, Clover tracks stock quantities for you.  You can adjust this setting if you would like a third-party app to track your stock quantities. 
    • Product Code: Enter the universal product code (UPC) that identifies this item. On merchandise, this code is a string of numbers and letters that appears in a line of text below the barcode image.
  10. Add optional item details by tapping Edit for each one, making selections, and tapping Save.
    • Categories: Select each category you want to contain this item.
    • Labels: Select each label to apply.
    • Variants To Add: Review the variants now available. If you uncheck any boxes, tap Continue to save changes.
    • Modifiers: Select your choice of modifiers to apply.
    • Tax: Tap to change the tax rate for this item from the default rate shown to a custom tax rate, or to apply no taxes. (To set a default tax rate, on the Web Dashboard, open the Setup app, click Taxes & Fees, and then check the Default box next to the rate you want to use.)
  11. Choose item option settings.
    • Show in Register: Leave this box checked to show the item in the Register app. Uncheck it to hide the item. For example, it’s useful to hide seasonal items that are not available all year.
    • Non-revenue item: Check this box to identify this item as one that you sell for others. Examples of non-revenue items include passthrough sales on behalf of other vendors.
  12. When you are done, tap Save at the top right to save this new item with variants.
  13. (Optional) If you want to add a SKU, you can add one for each variation.
    • Tap ITEMS WITH VARIANTS.
    • Under Name/Attributes, tap an item variation.
    • In the SKU field, enter the stock keeping unit (SKU) code you define.
    • Tap Save

The Clover system lists your new inventory item on the Web Dashboard and shows it on every Clover device.


Edit items with variants in inventory

To edit variant attributes and options:

  1. Open Inventory app.
  2. Scan, search or scroll to find the item you wish to edit.
  3. Tap the name of the item.
  4. To edit the Item Name, enter the new name and tap Save.
  5. To edit a specific attribute, tap on the specific attribute under the ATTRIBUTES AND OPTIONS column.
  6. Type in a new option followed by a comma.

    NOTE

    You can not delete an option to an attribute that is currently used as a variant.

  7. Tap Save.

Delete inventory items

Delete multiple items to remove many items from the inventory at the same time. You can additionally use this procedure to count the items you have in the inventory.

Use the Inventory appto delete multiple inventory items.

To delete multiple items:

  1. On your Clover device, open the Inventory app .You might have to swipe to the left to see this app.
  2. In the Inventory app, tap Items.
    The system opens the Inventory app to the page where you last worked. If you don’t see the Items tab, use the arrow at the upper left corner to navigate to the top page.
  3. At the top right, click Edit.
    The system shows all inventory items, lists variants individually, and shows a checkbox for each item. (If you don’t see the checkboxes, try this step again.)
  4. Find and select the items you want to delete:
    • (Optional) You can get a number count of all items in the inventory by checking the Name box, which also selects all items, and then looking for the number next to the Edit and Delete buttons.
    • You can swipe to scroll through the item list and select items as you go.
    • You can filter the list in the Search box at the top right by entering the first few (or any) letters in the item name.
  5. With the correct items selected, tap Delete and then confirm the request to delete the selected items.

The Clover system updates the Web Dashboard and all of your Clover devices.
